How much does custom software cost in Mexico? 2026 prices
What makes a system cost more or less, our starting prices, how paying in stages works, what else to budget for and how to compare it with a subscription over three years.
What makes custom software cost more or less?
A price without a defined scope, meaning a list of what’s included and what isn’t, is useless for comparing quotes. The cost depends on how much has to be built and connected, not on what the system is called: an “inventory system” can be a single screen for stock in and out, or warehouse-level control with purchasing and reports. This is what moves the price the most:
- How many processes it covers. A process is a complete job, like taking an order or fulfilling it. Each one adds screens, rules and testing.
- How many people use it and what each one can see. A system for three people is different from one with separate dashboards for customers, staff and admins, like the one we built for Cleanly.
- What it connects to. An integration is a link to another system so data flows on its own: your electronic invoicing (CFDI, Mexico’s e-invoice), WhatsApp, your online store or your payments. Each one depends on what the other system allows.
- Whether data has to move over. Bringing customers, products and history over from Excel takes work, especially when the files don’t match. At Sumiplas, the information they already had moved into the new system without losing its history.
- Where it will be used. If your team works from their phones, the screens are designed for that. A web system that opens in the browser is usually enough; an app installed from an app store adds work.
- Which reports you need. A sales summary is quick; metrics by machine or Excel and PDF reports for each department take longer.

How much does each type of project cost at Nightly?
These are our reference prices. They’re “starting at” estimates: the exact price depends on your scope, and we send it to you in writing after the free consultation.

Website packages are the exception: they have fixed prices, and you can see what each one includes on our pricing page. For everything else, the proposal spells out what we’ll build, what each stage costs and when it will be delivered.
How does paying in stages work?
You don’t pay for a complete system all at once. We split it into stages, and each one solves something your team uses from the day it’s delivered:
- Free consultation. We review your operation, in person in Mexico’s Bajío region or over video call, and tell you what to build first.
- Written proposal. You get the scope, the price of each stage and its dates before you commit to anything.
- Delivery in stages. The first stage solves what hurts most. You pay stage by stage and decide whether to move on to the next one.
This spreads out the payments and lowers your risk. We fix defects at no cost when you report them within 60 calendar days of each delivery. You can end the project at any time, paying for the work done, and your data is always yours to export.
What else should you budget for besides development?
Development is only part of the cost. Ask about these items before you sign, because they continue after delivery:
- Hosting and maintenance. Hosting is the server your system runs on, with its backups and security updates. It’s a recurring cost, and the amount should be in writing.
- Support and new features. Your operation will change. New work is quoted separately; at Nightly, from $400 MXN per hour.
- WhatsApp messages. If your system sends alerts over WhatsApp, Meta, the company that owns WhatsApp, charges for each delivered message, with rates that vary by message category and by the country of your customer’s phone number. Since October 1, 2026, that includes replies to customers who messaged you, except the first 1,000 each month per phone number. Meta can update its rates up to four times a year. - Invoice stamping. To issue electronic invoices (CFDI) from your system, you need a provider authorized by the SAT, Mexico’s tax authority, which assigns each invoice its folio number and adds its digital seal. That service is paid separately: Facturama, for example, lists an integration module at $1,650 MXN per year plus $0.50 MXN per folio for up to 10,000 folios, tax included.
Is it cheaper than subscribing to an ERP like Odoo?
It depends on how many people will use it and how much you’d have to adapt the software. An ERP brings sales, inventory, accounting and other areas together in one program, and some, like Odoo, are rented per user per month. The fair way to compare is to add up what you’d pay over three years with each option.
Take Odoo’s prices for Mexico, which we checked on October 4, 2026. Its Standard plan costs $228 MXN per user per month plus IVA (Mexico’s value-added tax) when billed yearly, discounted to $180 for the first 12 months; billed monthly, the regular price is $285. Its Custom plan, which adds Odoo Studio, multi-company and the external API (the connection that lets other systems read and write data), costs $410 per user per month billed yearly, or $330 for the first year. The plans include hosting, maintenance and support, but not implementation.
Here’s the math with 10 users on the Standard plan, billed yearly and assuming the regular price doesn’t change in years two and three:

For your own case, swap in your numbers: users × monthly price × months, plus implementation, against development plus 36 months of hosting and maintenance. Add third-party costs, like WhatsApp or invoice stamping, to both columns.
The math doesn’t always favor the same option. With 3 users on the Standard plan, you’d pay $22,896 + IVA over three years, with all its apps and hosting included; development alone for a complete custom system starts at about $25,000 MXN. If software like that covers your operation without making you change how you work, it’s probably the better deal. And if you only need one app, Odoo has a free plan.
The picture changes as you add users, when you need the Custom plan (with 10 users, it adds up to $138,000 + IVA over three years) or when you pay for several subscriptions that don’t talk to each other. Executive Engineers replaced several WhatsApp groups, OneDrive, iCloud and scattered notes with a single platform and cut subscription costs and administrative workload by 80%. We ran the numbers for 5 and 10 users, including implementation, in Odoo or custom software, and compared other ERPs in Off-the-shelf ERP or custom software.
How can you lower the cost without coming up short?
- Start with one process. Solve the one that costs you the most time or money today first. Everything else can wait for the next stage.
- Keep what works. If you already invoice with a system that serves you, or sell through an online store, connect it instead of replacing it.
- Define the scope carefully. Write down what the system must do, who will use it, which reports you need and what’s out of scope. Whatever isn’t written down tends to end up as paid changes.
- Clean up your data. If your customer and product lists are clean, moving them over costs less.
- Leave the nice-to-haves for later. Separate what you need to operate from what would be nice to have; the second group fits in a later stage.
- If you only need a website, pick a package. Packages have fixed prices, so you know up front what you’ll pay.
What are the red flags in a software quote?
A low price means nothing if you don’t know what it covers. Be wary of a quote when it:
- Gives a single total price, with no scope and no price per stage.
- Doesn’t say what’s out of scope or how changes are billed.
- Has no dates, or a single delivery at the very end.
- Asks for full payment on a large system before you see a single delivery.
- Doesn’t mention hosting, support or third-party costs, like WhatsApp or invoice stamping.
- Doesn’t explain how you get your data back if you end the relationship.
- Doesn’t include a written warranty for fixing defects.
