Automating WhatsApp messages for your business: what you can and can’t do

Order confirmations, reminders and status updates on WhatsApp: what Meta allows, what still needs a person and how pricing changed in October 2026.

Plenty of businesses already serve customers on WhatsApp, so it’s natural to want updates to go out on their own. But Meta has clear rules about who you can message, when, and with what kind of message, and it changed how it charges in 2026. Here’s what to know before you automate.

What’s the difference between the WhatsApp Business app and the platform?

The WhatsApp Business app is free and built for your team to answer chats by hand from a phone. It has basic automatic replies, like greeting and away messages, but Meta itself describes it as offering limited customization and integration with other tools. It can’t read your orders or tell a customer when their order changes status.

The WhatsApp Business Platform, often called the API, isn’t an app. It’s a connection that lets your own systems send and receive messages. You can sign up directly with Meta, which doesn’t charge for access, or go through an approved provider, which may charge its own fees.

You don’t have to pick one. Meta lets you use the same number on the app and the platform: your team keeps answering from the phone, automated updates go out from your system and chat history stays in sync. Messages sent from the app stay free. The trade-off is that some app features change, for example you can’t create new broadcast lists and group chats don’t sync.

Which WhatsApp messages can you automate?

The messages that work best are the ones your customer expects because they follow something they did: an order, an appointment, a payment. Meta calls these utility messages, and they have to meet two conditions: no promotional content, and tied to that person, such as their order or account.

  • Order confirmations with the order number, items and estimated date.
  • Status updates: in production, ready for pickup, shipped or delivered.
  • Reminders about something already agreed: an appointment, a delivery or a payment.
  • Account updates: new balance, invoice available or document ready.
  • Feedback requests about an order or service you already delivered.
  • Internal alerts: a new order going straight to the supplier or team that fulfills it.

Do you need a customer’s permission to message them on WhatsApp?

Yes. The WhatsApp Business Messaging Policy only lets you contact people who gave you their number and agreed to receive your messages. You choose how to ask, but you’re responsible for doing it in a way that complies with the laws that apply to your communications.

The easiest place to ask is wherever you already collect the phone number: your website form, your customer portal sign-up or the order form. Make sure the wording names your business and says what kind of messages people will get.

The policy also recommends asking for permission by message type, for example order updates separately from promotions, and explaining how to opt out. If someone asks you to stop, even by phone or in person, you have to honor it and remove them from your contacts.

What is a message template, and why does Meta review it?

A template is a message with fixed text and placeholders for each customer’s details, like their name or order number. It’s the only way to message someone who hasn’t written to you in the last 24 hours, and Meta reviews it before you can use it.

Every template falls into one of three categories, and the category determines the price and what the message can say:

Be careful about mixing. If you add a promotion to an order update, Meta treats it as marketing. And if a template approved as utility is really marketing, Meta can change its category.

What is the WhatsApp 24-hour customer service window?

Every time a customer messages you, a 24-hour customer service window opens. While it’s open, you can reply with free-form messages, no template needed: text, photos or documents. If they write again, the clock resets.

Once the window closes, you can only reach them with an approved template. A well-built system makes that call for you: if the customer wrote an hour ago, it replies normally, and if they wrote three days ago, it uses the right template.

How much does it cost to send automated WhatsApp messages?

The app is free. On the platform, Meta charges per delivered message, at a rate that depends on the category and your customer’s country, according to its FAQ. And since October 1, 2026, Meta also charges for replies inside the 24-hour window and for utility templates sent in that window, which used to be free.

Meta can update its rates up to once a quarter, so check the current rate card for your customers’ country before you budget. If you reply with an AI tool from another provider, that provider bills its usage separately and Meta charges for delivery.

What should a person still handle?

Automation doesn’t mean leaving customers stuck with a bot. The WhatsApp policy allows automated replies inside the 24-hour window, but requires a prompt, clear and direct way to reach a human: handing the chat to someone on your team, a phone number, email, a support form or your store.

As a rule of thumb, leave these to your team:

  • Complaints and disputes.
  • Price negotiations, discounts or credit terms.
  • Exceptions, like changing a delivery date or an order that already shipped.
  • Problems with a payment or an invoice.
  • Any conversation where the customer asks for a person.

Ideally, the system alerts the right person and hands over the context: who the customer is, what they ordered and what they were told. That way nobody has to ask twice.

Where should you start with WhatsApp automation?

  1. Pick one or two messages someone on your team sends by hand every day.
  2. Add an opt-in checkbox wherever you collect the customer’s phone number.
  3. Write templates without promotions so they qualify as utility.
  4. Decide who answers when customers reply, and during what hours.
  5. Review each month how many messages go out, how many get read and what you pay.
