Odoo or custom software? How to decide with real numbers (2026)
Odoo is a good product for many companies. Using its published prices for Mexico, we work out the three-year cost and when a custom system is the better fit.
What is Odoo, and who is it for?
Odoo is an ERP: software that brings sales, purchasing, inventory, accounting and other areas together in one place. You pay for it per user per month. According to its pricing page, the paid plans include all of its apps for a single price, along with hosting, daily backups, updates and unlimited email support in English, Spanish, French or Dutch.
It’s a good product for many companies. The real question is whether it fits you: what you’ll pay with your real number of users, and whether the way you work fits what it offers. Here we run the numbers using the prices Odoo publishes for Mexico.
How much does Odoo cost in Mexico in 2026?
We checked Odoo’s Spanish-language pricing page on October 4, 2026. It lists three plans, priced in Mexican pesos per user per month, plus VAT:
- One App Free: $0. A single app with unlimited users, on Odoo Online, Odoo’s cloud.
- Standard: every app, on Odoo Online. Billed yearly, $180 the first year and $228 after that. Billed monthly, $225 the first year and $285 after that.
- Custom: everything in Standard, plus Odoo Studio, agentic AI, several companies in one database (multi-company) and the external API. Billed yearly, $330 the first year and $410 after that. Billed monthly, $410 the first year and $510 after that.
The lower price is a first-year discount. Odoo says it lasts 12 months and applies to the user licenses you buy at the start. There’s also a light user (“usuario parcial” on the Mexican page), listed at $70, for people who only use limited features, such as logging their expenses or scanning barcodes in the warehouse. To get one, Odoo asks you to book a meeting with an expert, who sends you a quote.
Pay attention to who counts as a user. Odoo charges for every person who creates, views or edits documents, including an outside accountant or an employee who only logs expenses or hours. Every employee entered in the HR app without a user account counts too. Customers and suppliers who check their invoices through a portal are free.
Is Odoo free? What the One App Free plan includes
Yes, with one condition: it’s free for a single app. Odoo guarantees that app is free, for unlimited users, forever. If the app you pick depends on others, you get those free as well. For example, eCommerce comes with Website and Invoicing.
The limit shows up with the second app. Odoo says that to move to Standard you simply install it, and from then on you pay per user. If a single app solves your problem as it comes, use it. It’s hard to compete with $0.
There’s also an option with no license fee: Odoo Community, the open-source edition you download and host yourself. According to Odoo’s edition comparison, it doesn’t include the Accounting app, Studio, hosting, version upgrades or support.
Which plan do you need to customize Odoo?
The Custom plan. Odoo describes it as the plan for companies that need to customize the software with Odoo Studio, agentic AI, custom development or the API. An API is the door another program uses to read or write data in Odoo.
Standard runs on Odoo Online, which Odoo reserves for databases without custom modules. With Custom, you can stay there, host Odoo on your own servers or use Odoo.sh, its platform for hosting custom development. The same page says no plan includes Odoo.sh hosting or maintenance of custom code.
In practice, if you want Odoo to work the way you do, each license costs about 80% more: $410 versus $228 a month, billed yearly, at the regular price.
How much does it cost to implement Odoo?
The license doesn’t include implementation: analyzing your operation, configuring, importing your data, customizing and training your team. According to Odoo, small companies with fewer than 50 employees usually work with Odoo directly through its Success Packs. Companies with more than 50 usually work with a partner, an outside firm that implements Odoo and provides local service.
Success Packs range from 4 to 200 hours of consulting. For new customers, with a 15% discount on their first pack, they cost from $3,680 MXN to $136,000 MXN, plus VAT. The 50-hour pack costs $38,080 MXN. Odoo notes that maintaining additional modules or lines of code adds monthly charges.
According to Odoo, partners usually bill per day of consulting or development. As a reference, QUADIT, a company that implements Odoo in Mexico, publishes packages from 10 hours for $10,000 MXN to 200 hours for $180,000 MXN, plus VAT, for remote work, with prices valid as of June 25, 2026.
What does Odoo cost over three years for 5 and 10 users?
This table adds up licenses only, billed yearly, at Odoo’s prices as of October 4, 2026, in Mexican pesos before VAT. It assumes the regular price stays the same in years two and three.
| Plan and users | Year 1 | Year 2 | Year 3 | 3-year total |
|---|---|---|---|---|
| One App Free, unlimited users | $0 | $0 | $0 | $0 |
| Standard, 5 users | $10,800 | $13,680 | $13,680 | $38,160 |
| Standard, 10 users | $21,600 | $27,360 | $27,360 | $76,320 |
| Custom, 5 users | $19,800 | $24,600 | $24,600 | $69,000 |
| Custom, 10 users | $39,600 | $49,200 | $49,200 | $138,000 |
When does Odoo make sense?
Odoo is usually the better choice when:
- Your processes are standard for your industry and your team can adapt to how the software works.
- You need several areas at once, such as sales, inventory and accounting, and they work for you as they come.
- A single app solves your problem, so the free plan means you pay no license at all.
- You’d rather have the vendor handle hosting, backups and updates.
- You have the budget and time to implement it, and someone on your team to lead the project.
When does a custom system win?
A custom system is built around your process and includes only what your team uses. It usually wins when:
- Your process is unique. The way you quote, produce or serve customers is part of your edge, and you don’t want to change it to fit a product.
- You need it to work exactly the way you do. In Odoo, that means the Custom plan, development hours and maintaining that code.
- You only need one or two areas. If your problem is inventory and production, you don’t need to rent a full ERP for every user.
- You have a small team with its own process. With few users, the license is a small cost; implementation and customization are what add up. Those hours can go further in a system built for you.
For reference, with us a single module or automation starts at about $5,000 MXN, a larger project starts at about $15,000 MXN and a complete system starts at about $25,000 MXN, paid in stages. There’s usually no per-user license, but there is hosting and maintenance. To see what drives the price, read how much custom software costs in Mexico.
We solve urgent issues within hours, and most projects are ready in about a week; large systems are delivered in stages, each with its own date in writing. We fix defects you report within 60 calendar days of each delivery at no cost, and your data is always yours to export.
One example: Sumiplas, a plastic bag manufacturer, used to run on Excel. Today production, inventory, staff and customers live in a single system aligned with ISO 9001, and the team sees the progress of every order in real time.
Can you combine Odoo with a custom system?
Yes, and sometimes it’s the most sensible route. Use Odoo for what it handles well out of the box, like accounting or sales, and build the part that sets you apart: your production process, a customer portal or data entry from the shop floor.
Check the plan before you design the connection. If your custom system will read or write data in Odoo, Odoo counts that as an external API, which is in the Custom plan. When Odoo is the one calling an outside service, such as a payment provider or a shipping carrier, it’s part of Standard. How do you decide with real numbers?
Run these numbers with your team before you request proposals:
- Count the people who will create or edit information, and the ones who only log expenses or hours.
- List the areas you need today and a year from now. If it’s just one, check the free plan first.
- Mark what has to work exactly the way you do. If that’s a lot, your real plan is Custom.
- Add up three years of licenses, implementation, custom code maintenance and VAT.
- Ask for a custom proposal with the same scope and compare it over three years, including hosting and maintenance.

Frequently asked questions
Odoo has a free plan for a single app, with unlimited users and no expiration. If that app depends on others, those are free too. When you install a second app, you move to the Standard plan and pay per user. There’s also Odoo Community, the open-source edition you host yourself, with fewer features than the paid one.
You can configure it, but to customize it you need the Custom plan, which includes Odoo Studio, custom development and the external API. No plan includes maintenance of custom code.
It depends on how many users you have, how many areas you need and how much has to be adapted. If an Odoo app works for you as it comes, the free plan is hard to beat. If you need the Custom plan, implementation and development, compare the three-year total with a custom proposal of the same scope. We give you the exact price of a custom system in writing after the free consultation.
