How much does an inventory system cost in Mexico? 2026 prices

We put the published prices of Pulpos, Odoo, Kardex, SICAR and Ventrack next to a custom system, add up three years and explain what drives the price and what costs extra.

An inventory system tells you what you have, where it is and who moved it, without counting by hand. There are three ways to pay for one: a monthly subscription, a license you pay for once, or a system built for your company. Here we put the prices each option publishes side by side, add up three years and explain what to check before you choose.

How much does an inventory system cost in 2026? The quick table

We checked each option’s pricing page on October 5, 2026. Amounts are in Mexican pesos unless noted, exactly as each vendor publishes them:

What makes an inventory system cost more?

Two companies can both ask for “an inventory system” and need very different things. This is what moves the price most, whether the software is ready-made or custom:

  • Warehouses and branches. Every location with its own stock adds up: in Pulpos you pay for each extra branch every year, in SICAR for each computer, and in a custom system transfers are built with confirmation of what arrived.
  • Batches and expiry dates. Essential if you sell food, medicine or chemicals. Check which plan includes them and whether the software tells you which batch went out with each sale.
  • Serial numbers. For equipment, spare parts or anything with a warranty, each unit is tracked from the moment it arrives until it leaves.
  • Locations inside the warehouse. Aisle and shelf for every product, so picking doesn’t depend on one person’s memory.
  • Barcodes and labels. The software has to generate and print labels, and you also need scanners and printers, bought separately.
  • Connections to other areas. Having stock deducted automatically with every sale, production order or online-store order, or sent to CONTPAQi, is extra work with any option.
  • Users and permissions. Odoo charges per person, SICAR per computer, and Pulpos includes a set number of users in each plan. Count everyone who will enter data, not just the administrator.
  • Moving your Excel data. Catalog, opening stock, suppliers and customers. Ask who does it, who checks that the numbers add up and whether it costs extra.

Subscription, license or custom? When each one wins

A subscription like Pulpos or Odoo makes sense if you sell like any other business in your industry, want to start this week and prefer a small monthly payment. The cost grows with every user or branch, and you pay for as long as you use it.

A one-time license like Kardex or SICAR makes sense if you work on one or a few computers, don’t want monthly fees or your internet drops often. Since it lives on your machines, backups are up to you, and support costs extra when the vendor sells it as a plan.

A custom system makes sense when your goods don’t move the way the software expects: raw materials that get transformed, waste you need to explain, batches by grower, size runs or transfers that must be confirmed. It also makes sense when you already pay for two or three programs that don’t talk to each other and someone reconciles everything in Excel.

If ready-made software covers your operation, use it: it’s cheaper and you’ll have it running soon. We’ll tell you exactly that in the consultation, even if it means we don’t build anything.

What does it cost over three years?

The first month’s price is misleading. These figures add up three years at the prices published on October 5, 2026, billed yearly where that’s offered and assuming the regular price doesn’t change. They exclude hardware, implementation and data migration.

Kardex isn’t in the second table because its largest license covers up to 3 computers, and SICAR charges per computer, not per user, so its cost depends on how many computers you have at each branch. What if you also need a point of sale?

If you sell over the counter, inventory and the register have to be the same system: every sale deducts stock, and the end-of-day count matches what left the shelf. There are three common routes:

  • Pay once: SICAR charges $4,940 for the main computer and $1,320 for each extra register, and it runs on your local network.
  • Low monthly fee: Pulpos includes point of sale and stock management from its Inicial plan at $129 + VAT a month.
  • Monthly fee with setup included: Ventrack, our point of sale, costs $990 a month, keeps ringing up sales when the internet goes down and syncs them when the connection returns.

Hardware is extra. iTechDev’s point-of-sale guide, published April 2, 2026, estimates a complete station with a tablet, stand, card terminal, receipt printer, scanner and cash drawer at $18,200 to $38,500 per register. Ventrack works with the computer, scanner or printer you already have, if they’re compatible; new hardware is quoted separately.

What costs extra?

  • Hardware. SICAR sells barcode scanners from $1,200 and thermal printers from $2,497. With a web system, a phone can do the scanning in the warehouse.
  • Data migration. Moving your catalog, opening stock and suppliers over from Excel. Ask in writing what gets moved, who checks it and whether it costs extra.
  • Implementation and training. Ventrack includes them in its monthly fee; with Odoo they’re bought separately, and how much an ERP costs lists its hour packages.
  • Invoice stamping. If you invoice from the system, each electronic invoice is stamped by a certification provider authorized by SAT, Mexico’s tax authority, known as a PAC; the official list is on SAT’s page. SICAR includes 100 stamps, Pulpos plans range from 3 invoices a month to unlimited, and Kardex doesn’t invoice.
  • Hosting and maintenance. With a custom system there’s no per-user license, but there is hosting and maintenance, at a cost we agree on in writing.

When does a custom inventory system make sense?

When the software forces you to keep part of your inventory outside of it. These are the most common cases:

  • Raw materials that get transformed. Each production order has to deduct what it uses. That’s how we built Polymer, Sumiplas’s system: a plastic bag factory that left its Excel files behind and now sees raw materials, consumables and finished goods up to date.
  • Waste you need to explain. Knowing stock is missing isn’t enough: you need the reason, the area and the person responsible.
  • Batches by grower or harvest. Common in packing and food; we cover it in agribusiness software.
  • Size runs. One model in several sizes and colors, as in a shoe factory; see footwear manufacturing software.
  • Transfers that must be confirmed. When goods travel between branches and you want to know in which transfer something went missing.
  • Inventory connected to everything. Sales, production, online store and invoicing on the same stock, with nothing entered twice.

How do you get started without getting it wrong?

Send the same scope to each vendor. Use our scope worksheet to prepare it. Along with users and warehouses, ask every proposal to clarify these points:

Use your own movements to test it: receive a purchase, fulfill part of an order, return an item and transfer stock between warehouses. Check the final stock and history with the person who runs your warehouse today. If you use lots or serial numbers, trace each unit to its receipt and the customer who received it. That compares the operation you need as well as the price.

  1. Count your users, branches, warehouses and registers.
  2. Write down what the system has to track: batches, expiry dates, serial numbers, locations or production.
  3. Ask each option for a three-year price in writing, with VAT, hardware and implementation.
  4. Compare the totals in the 3-year cost calculator.
  5. Try before you decide: Pulpos and Odoo offer free trials, and a custom system is delivered in stages you use as soon as each one arrives.

Yes. Odoo gives away its Inventory app, with unlimited users, if it’s the only one you use in its cloud; once you install a second app, you pay per user. Pulpos offers a 14-day free trial. Excel is free too, but it stops being enough once several people move the same inventory.

Ready-made software like Pulpos or Kardex can be used as soon as you sign up or install it, although loading your catalog and stock takes longer. With us, a small adjustment may take hours and a tightly scoped module about a week once we have the necessary data. A system with multiple warehouses, migration and integrations is planned in stages with written tests and dates; the entire system is not promised in a week.

It depends on the system. One that only runs in the browser needs a connection. Kardex works offline on Windows, SICAR is installed on your computers and local network, and Ventrack keeps ringing up sales when the signal drops and syncs them when it comes back.
