Custom CRM or an off-the-shelf one? When each makes sense

What a CRM is in plain words, when an off-the-shelf one is enough and when a custom CRM connected to your orders, production and WhatsApp makes more sense.

What is a CRM, and what is it for?

CRM stands for customer relationship management. In practice, it’s the place where everything you know about each customer and lead lives: who they are, what they’ve bought, what you quoted them, who handles them and when to follow up next.

If that information lives today in a salesperson’s notebook, on their personal WhatsApp or in a spreadsheet everyone fills in their own way, you already have the problem a CRM solves: follow-ups slip, nobody knows what happened to a quote and, when a salesperson leaves, their customer history leaves on their phone.

What does a CRM do day to day?

  • One record per customer, with their details, purchases, quotes and every conversation.
  • The sales pipeline: which stage each lead is at, from first contact to quote to closed sale.
  • Follow-up reminders, so no lead goes unanswered.
  • Who handles whom, with permissions so each salesperson sees their own accounts.
  • Reports on how much was quoted, how much closed and why the rest was lost.

When is an off-the-shelf CRM enough?

For many companies, an off-the-shelf CRM is the best way to start. You sign up today, the pipeline, reminders and reports come ready, and you pay per user per month. We checked the official pricing pages on October 4, 2026:

  • HubSpot is free for up to 2 users. Its paid plans are billed per seat per month.
  • Zoho CRM is free for 3 users. In Mexican pesos, its Standard plan costs $216 per user per month billed yearly, or $324 month to month, and Professional costs $360 billed yearly or $540 month to month. Taxes are extra.

With 5 salespeople on Zoho’s Professional plan, billed yearly, you’d pay $1,800 MXN a month, or $21,600 MXN a year plus VAT. Prices can change, so check them before you decide.

One of these is enough when:

  • What you need is to organize leads and follow-ups, not to connect sales with your operation.
  • The way you sell looks like any other company’s: contact, quote and close.
  • Your sales team is small and can work the way the software is designed.
  • You don’t mind copying orders from the CRM into your order system or your invoicing by hand.

When does a custom CRM make sense?

An off-the-shelf CRM organizes the sale. The trouble usually starts after the sale closes, when the order has to move to production, the warehouse or collections and someone types it into another system. A custom CRM makes sense when:

  • Your customers are tied to your operation. Each customer has orders, production orders, reserved stock or balances, and you want to see them all in one record.
  • You enter the same thing twice. A salesperson logs the sale in the CRM and someone else retypes it in the order system or in Excel.
  • The way you sell is your own. Prices per customer, credit, quotes with rules specific to your industry, or sales stages no product offers.
  • Follow-up happens on WhatsApp. You want messages and conversations stored in the customer record, not on each salesperson’s phone.
  • You pay for licenses that barely get used. People who only look things up or enter one thing still count as a full user.

Can the CRM connect to WhatsApp?

Yes, and it’s often what saves the most time. With the WhatsApp Business Platform, your system can send confirmations, reminders and follow-up messages, and save the replies in each customer’s record. That way the history stays with your company, not on a salesperson’s phone.

Keep two things in mind. Meta charges for each delivered message, depending on its type, and you can only message people who gave you their number and agreed to hear from you, as the WhatsApp Business messaging policy requires.
