Decide which stock quantity you are watching

Physical, available and projected stock can differ. A distributor may hold 30 units with 18 reserved; a factory may have material blocked by quality. Define which quantity triggers the alert, in which warehouse and unit. If data is stale, the alert should expose that limitation before suggesting a purchase.

Zoho Inventory supports low-stock notification settings and recipient selection. ERPNext documents warehouse levels and material requests based on projected quantity. Check the current system before adding automation. A notification and a purchasing request have different effects; wanting the first is not a reason to activate the second.

Fictional example: adhesive AD-20 in warehouse one

A factory rehearses an AD-20 rule: open a case when available stock drops below 20 units and close it after confirmed recovery to at least 25. A drop from 22 to 18 creates A-020 for purchasing. Subsequent readings of 17 and 16 keep that same case. These fictional thresholds are not a universal inventory policy.

Purchasing acknowledges the alert and notes an expected delivery. The shortage remains open: acknowledgment does not increase stock. After material is received and confirmed availability reaches 26, the rule can close the case. A later drop to 18 opens a new occurrence linked to the earlier one. Separate opening and closing thresholds avoid repeated toggling around one number.

Test noise, shortages and follow-up

Rehearse a sequence of quantities, rather than one screen. Define a problem key including item, warehouse and rule. An email or messaging channel may retry delivery without creating another task. If the message never arrives, the case must remain visible in the system with an attention path.

Escalate by effect, not notification count

Distinguish missing material that stops production from an item that can wait. Priority requires an operating decision and deadline, rather than coloring everything red. Agree when missing acknowledgment escalates, who receives it and what happens outside purchasing hours. Keep authorized alternatives visible, such as reviewing a transfer before buying.

If replenishment is confirmed, decide how it affects projected stock without declaring unreceived goods available. Stale balances or blocked units may require another verification task. Calculations depend on reservations, expected receipts and product configuration. Review those assumptions before interpreting an alert as an automatic recommendation.
