Preventive maintenance: calendars, readings and work-order closure
A counter without a reading does not prove equipment remains within its interval; task completion does not prove operational release.
Asset readings, due triggers and closure
Ten tests of counters, calendars, missing data, meter replacement and return to operation.
Which equipment and rule are you maintaining?
An irrigation pump, compressor or assembly machine needs stable identity, location, model and owner. Relate its manual to the maintenance plan; do not copy intervals from superficially similar equipment. Define whether the rule uses date, operating hours, cycles or a measurement. Actual intervals and procedures must come from the manufacturer and relevant technical decision; this guide tests records and does not prescribe safe interventions for every machine.
Microsoft describes plans with time and counter lines. It also documents linked intervals and rules based on a date or the last completed work order. Maintenance plans. The exact rule depends on configuration: verify its baseline and when work is generated. Do not assume every combination automatically selects the earliest due trigger.
Example: a reading changes the decision
| Data | Rule result | What to check |
|---|---|---|
| 1,240 hours on October 8 | 10 hours remain to threshold | Not due by hours; calendar remains active |
| 1,255 hours on October 8 | Threshold exceeded by 5 | Work due by counter |
| No recent reading | Current usage unknown | Reading pending; cannot declare asset up to date |
| New meter shows 12 | Not equivalent to cumulative use of 12 | Meter change and prior baseline visible |
| Retry scheduling G01 | Same due intervention | One order; no calendar duplicate |
If the counter triggers on October 8, do not wait until the tenth simply because the calendar is green. Work needs a planned date, owner and requirements, and may affect production capacity. The new meter's twelve hours cannot be subtracted from 1,240 to create negative usage. Retain replacement, prior reading, new baseline and the cumulative-use reconstruction rule where applicable.
What happens when data is missing?
Microsoft documentation warns that counter lines are omitted when the asset has no registered values for that counter type. Counter-line conditions. Absence of an order therefore does not prove absence of due maintenance. A missing-reading or inactive-plan alert is a control to configure and test, with an agreed owner and frequency.
A late import or mistyped reading needs a correction with history. Distinguish measurement date from entry date. If a sensor participates, verify unit, asset identity and treatment of implausible values; an available API does not establish integration. A counter reset may also be an intended feature, but you need to know which event resets it and how the next due trigger changes.
When does equipment return to operation?
Retain tasks, measurements, observations, spare parts and who completed the work. If your procedure requires review, 'technician finished' must differ from 'released to operation.' A signature or photograph does not replace assessment. APIClix publishes scheduling, evidence and spare-parts control in its CMMS. Equipment and maintenance features. These are declared features; they do not guarantee prevention of failure or prove intervention effectiveness.
Which tests must pass?
- Normal: EQ01 generates work under the configured threshold and rule, identifying the reading and plan used.
- Exception: missing readings, an inactive plan or an implausible value remain visible for review without an invented safety status.
- Meter: replacement preserves the prior baseline and does not calculate negative usage.
- Closure: spare parts are issued once and pending technical observations retain an owner; release needs the agreed decision.
- Retry: repeating G01 or closure C01 keeps one order, one spare-parts issue and a retrievable result.
What should you bring to a diagnosis?
Complete the asset readings and closure worksheet. The process documentation guide clarifies owners; capacity scheduling includes unavailability. To scope manufacturing software, bring an asset, its plan and an incomplete order. This page concerns internal assets; contracted customer visits need another process and their own service windows.
Frequently asked questions
It depends on equipment and technical instructions. The system must represent the approved rule rather than choose a generic interval for you.
No. Readings, configuration or an active plan may be missing. Check data and rules before treating absence of work as an up-to-date asset.
Retain date, prior reading, new meter and baseline. Review cumulative-use calculations and the next due trigger under the effective plan.
Only if the procedure and competent decision owner allow it. Separate completion, review and release when required; a photograph cannot decide safety.
