Proof must explain what was received and what was excluded

Delivery proof should link shipment, authorized recipient, place, time and received quantities. With shortages, rejection or damage, it must separate receipt from units still in carrier custody or requiring a location check. A signature against ten planned boxes does not establish receipt of ten when the exception records another quantity.

Track-POD describes an application capturing location, time, photos and signatures, and communicating actual delivered quantity with proof. These are features the vendor presents for its product. When evaluating another system, request a demonstration of the quantity each evidence item confirms and partial-receipt review; do not assume a photo or signature approves the whole shipment.

Example: ten boxes loaded, seven received

The driver records seven received, two rejected and one missing. Reason and evidence support review of the damaged two without announcing full delivery. The supervisor compares ten loaded with seven held by the recipient, two in the vehicle and one of unknown location: seven plus two plus one equals ten. An assigned search follows the missing box; a photo of seven boxes does not resolve its location.

REC-32 records seven accepted by the authorized person. The reply is lost after saving and the driver confirms again. Expected behavior is recovery of REC-32 with seven, without another seven-unit receipt or reclassifying rejected boxes as delivered. The customer notice states partial receipt and next action through the allowed channel.

The missing box is later found in the vehicle. Correct unknown location to vehicle with reason and evidence: recipient seven, vehicle three, unknown zero. Finding the box does not increase received quantity. If the customer authorizes another attempt to deliver it, REC-33 adds a linked one-unit receipt: cumulative received eight, vehicle two. Total remains ten.

Warehouse return still needs receipt and inspection

The damaged two may return to the warehouse under return authorization. Until arrival is confirmed, they remain in transit or the recorded custody; pressing return does not make them available. At receipt, staff inspect condition and decide blocking, repair or another authorized disposition. Refunds or commercial claims need their own records.

The business defines recipient verification, quantity acceptance and dispute-review authority. Device location and capture time add context but do not replace agreement about received units. Keep corrections and original evidence; do not overwrite seven with ten to close a route. This guide determines neither signature legal value nor damage liability.

Request an incomplete delivery you can reconstruct

  • Load ten and receive seven, with two rejected and one missing. Preserve each part's quantity and location.
  • Repeat receipt after a lost reply. Compare cumulative received and balance; the same confirmation must not duplicate units.
  • Locate the missing box, then deliver it on another attempt. Distinguish custody correction from new receipt.
  • Test an unauthorized recipient and insufficient evidence. Show decision owner and outstanding review without automatic full delivery.
  • Return damaged units and verify physical receipt and inspection before making stock available.

Prepare an anonymized shipment with loading, partial receipt, exception and return. Include different item lines if you use multiple units of measure. Bring authorized-recipient rules, review workflow and the warehouse and transport systems holding quantities. Attractive proof without those balances cannot resolve a claim.
