# Crew scheduling: availability, travel and changes

Two non-overlapping slots may be impossible because of travel or resources. Test absence and change scenarios before promising a visit.

**Short answer**

To schedule crews, confirm suitable people and resources, duration, travel and the customer window before booking. Review subsequent commitments after delays, absences or emergencies. Reassignment should preserve the current schedule, approver and notified parties; repeated confirmation should recover the same commitment.

## An empty calendar slot does not prove a crew can arrive

Scheduling a visit requires checking people, capacity, skills, travel, tools and the customer's window. Two jobs may not overlap on a calendar yet remain incompatible because they are forty-five minutes apart. One person may also be free while a required partner or piece of equipment is unavailable.

[Microsoft describes](<https://learn.microsoft.com/en-us/dynamics365/field-service/schedule-assistant>) a scheduling assistant recommending resources by availability, skills and location, with estimated travel time. The dispatcher selects and books the resource. Documentation also distinguishes the time zone used for availability searches. These are Dynamics 365 Field Service capabilities; confirm your data and the rules of the system you evaluate.

## Example: a hidden fifteen-minute conflict

**Synthetic scenario with test times**

On October 12, 2026, Mexico City time, crew C-4 works at A from 09:00 to 10:00. B needs 60 minutes and an estimated 45-minute journey from A. Customer B accepts arrival between 10:30 and 11:00, with completion before 12:00. These are neither measured route times nor an arrival guarantee.

A proposal schedules B from 10:30 to 11:30. It does not overlap A, but the crew could only arrive at 10:45 under the estimate: fifteen minutes are missing. The corrected proposal is 10:45–11:45, within the customer window. Before confirming it, the dispatcher checks that both C-4 members and the necessary tool are available throughout that period.

Another crew has reserved that tool at 11:00. B needs it for the full visit, so the proposal is still not feasible. The business decides whether to obtain another tool, move the second reservation or reschedule B with customer acceptance. The calendar should show the conflict and its owner; another block color is insufficient.

An urgent job requests C-4 from 10:00 to 11:00 at a third site. The supervisor evaluates priority, travel and existing commitments. If B moves, preserve the previous time, new proposal and person confirming the change. A reassignment suggestion does not establish that customer or crew already knows. Check communication before presenting the schedule as final.

## Reassignment needs a schedule everyone recognizes

Test two dispatchers trying to occupy the same crew. The first confirmation changes the schedule. The second should recheck availability against that change, require resolution or show a conflict; it must not create two commitments because it began from an old screen. Repeating a saved confirmation after a lost reply should recover the same booking.

If A finishes at 10:20, estimated travel places arrival at B at 11:05, outside the 11:00 arrival limit. The planned 60 minutes of work also place completion at 12:05, five minutes beyond the completion limit. These timings miss both limits. Record the delay and request a decision. Define priority-change authority and travel buffer; do not hide lateness by adjusting the original duration.

## Request simultaneous changes and a realistic delay

-   Schedule two non-overlapping services with insufficient travel time. The conflict must appear before the customer notice.
-   Remove a required person or tool. A nominally free crew must not be considered suitable without resolving the shortage.
-   Move a visit from two dispatchers. Check the surviving booking and treatment of the previous proposal.
-   Repeat confirmation after a lost reply. Preserve one commitment and an identifiable change notice.
-   Update a visit's finish and reevaluate subsequent visits using agreed time zone and windows.

Gather an anonymized week with estimated and actual duration, origins and destinations, people, equipment, absences and access windows. Include an urgent job that displaced another visit. Those records support comparison of dispatch decisions; an empty drag-and-drop calendar does not demonstrate your operation's exception handling.
